Position Objective:
To process all incoming Supplier (Vendor) invoices with accurate coding and data entry to ensure efficient, timely, and accurate receiving, processing, verifying, and reconciling of invoices.
Role and Responsibilities:
  • Prepare, verify, and scan supplier invoices for processing.
  • Accurately assign General Ledger codes to invoices.
  • Enter manual invoices in a timely and efficient manner into Dynamics GP.
  • Daily maintain the Accounts Payable mailbox and incoming mail to ensure timely responses and invoice processing.
  • Collect, enter and maintain Supplier information into Dynamics GP and other related systems.
  • Investigate and resolve supplier inquiries with positive and productive actions.
  • Prepare supplier payments for mailing, including matching supporting documents with check where required.
  • Reconcile supplier accounts.
  • Prepare month end accruals.
  • Review invoices for use tax.
  • Protect the Company’s value by keeping information confidential.
  • Identify processes that can be improved; communicate suggestions for improvement.


Qualifications and Education Requirements:
Requires an associate’s degree in accounting, or equivalent work experience.
Preferred Skills:
  • This is an entry level position; applicants with experience in similar clerical roles will be given greater consideration.
  • Ability to manage multiple tasks and coordinate priorities simultaneously.
  • Strong written and verbal communication skills to facilitate conversations with suppliers, co-workers, and management.
  • Experience using Dynamics GP or similar accounting software.
  • Attention to detail, thoroughness, and organization.
